Job Description

* The Administrative Assistant will be responsible for overseeing the office for the Director of Ministries.
* The Administrative Assistant will also collaborate with the other ministry departments and their administrative staff for certain ministry projects.
• Assist in the budget process as well as maintain the accounting of expenses and revenue within the department
• Manage all aspects of department financials to include check requests, deposits, financial reconciliations, expense reimbursements and other related financial duties
• Maintain, manage and coordinate the Central Purchasing for hospitality supplies for the Ministry Offices
• Maintain, manage and update the Director of Ministries parish files, department files and other related ministries
• Design and maintain the webpage for Ministry office and assists other departments as needed
• Software and IT support for the Ministry offices as requested by the Director and IT Director
• Designs and creates newsletters, flyers and brochures for programs and projects as needed
• Handle Spanish department written and verbal translations
• Research potential grant funders as well as prepare grant applications

Job Requirements

• Associates degree required
• Minimum of 5 years working in an office environment
• Minimum of 5 years working in a Catholic environment
• Notary Public License
• Ability to communicate clearly and professionally
• Ability to do long range planning and preparations for projects
• Self-motivated
• Ability to compose business letters and other correspondence
• Skilled in proofreading, grammar and writing skills
• Skilled in the translation of documents
• Proficient skills in Microsoft Word and Excel, PowerPoint, Outlook and Access
• Knowledge of Photoshop and other design software
