Job Description

• Serve as administrative assistant to the Pastor and Parochial Vicar
• Open and Close the Office at the specified times.
• Organize the Lobby.
• Administrative Tasks (filing, copies, take messages, etc.).
• Answer questions over the phone or transfer to the area requested.
• Answer email inquiries made directly to me or through the parish website.
• Help people that come in with questions.
• Receive packages/mail and make sure they get to the people addressed.
• Manage compilation of Mass Intentions (over the phone, in person, email, or mail).
• Manage translation of documents and flyers
• Process new registrations to the parish (both online and physical).
• Update Parishioners Information (PDS).
• Update addresses from returned mail (PDS).
• Prepare letters of membership for parishioners and mail them to parish requesting them.
• Take payments (Stipends, Church Donations, etc.).
• Update Church bulletin board and parishioner messages.
• Prepare and edit weekly bulletin for printing.
• Manage Parish social media.
• Order Office Supplies (Staples, Dex Imaging, etc.).
• Order and put out envelopes for novenas (Mother’s Day, Father’s Day, All Souls, etc.).
• Perform other tasks as assigned by the Pastor or Business Manager.

Job Requirements

PC Skills, Microsoft Office, Microsoft 365; Google Forms
Ability to generate reports for Data Base and Cloud based programs
Strong multi-tasking and organizational skills
Good communication skills, verbal and written
Office experience in a professional or parish office environment is preferred
Bilingual required
High School diploma
