Job Description

Position Overview:

The Worship Assistant reports to the Director of Worship and, as part of the Worship team, is responsible for a variety of support and communications tasks to enable community worship. All ministries that are part of The Office of Worship seek to promote “full, conscious and active participation” in the liturgy, in the personal prayer life of the St. Gabriel Community, and in the building of the kingdom of God.

Primary Work:

Assist with logistics for worship related activities including but not limited to daily and weekly masses, hospitality extended to clergy and visitors, arranging clergy support for parish events, funerals, and baptisms

Assist with the production of paper and digital worship aids for masses and funerals using ProPresenter and Publisher

Assist with communication and scheduling of liturgical ministers as needed

Assist the music ministers with obtaining and copying music for use during liturgical events

Maintain monthly reprint usage report (tracking music use for copyright compliance)

Meet regularly with director of worship to plan and coordinate events as needed

Establish and maintain office hours that meet the needs of the parish community (typical hours will be during Parish Center business hours); Additional hours will be required in the weeks leading to Advent, Christmas, Lent, and during the Easter Seasons

Administrative support including, but not limited to preparation of readings and sign in sheets; typing and copying rites and para-liturgies; input and update worship-related activities on parish calendar

Administrative and logistical support for the RCIA team (may require weekend hours)

Assist with maintaining liturgical databases such as ministry rosters; music library; and other database using PDS; MSP; and Office 365 suite of software

Input and update Worship related activities on parish calendar

Administrative and logistical support for the liturgical ministries including but not limited to coordinating training sessions, procuring supplies, scheduling resources

Maintain and stock the working, liturgical sacristies, and clergy vesting room in the church

Order liturgical and office items for use during daily and weekly masses

Record all income and expenses for Office of Worship activities and submit to parish accountant

Submit check requests for payment of worship activities to the parish accountant

Implement policies and guidelines, including the Safe Environment set by the Diocese, Pastor, and Operations Director

Attend regular staff meetings, convocations and other meetings as needed

Assist parish staff when needed as schedule and skills permit

Job Requirements

Key Knowledge and Skills:

Active in the Roman Catholic faith and commitment to function in a manner consistent with the mission of the Roman Catholic Church

Strong PC skills including Microsoft Office and use of cloud services

Medium skill level with graphics & publications (newsletters, flyers, brochures, etc. – Microsoft Publisher)

Ability to compose correspondence, minutes and/or reports

Ability to create and maintain filing systems for ministry leaders and volunteers

Ability to generate standard and ad hoc reports from databases (preferred)

Ability to prepare and present budget reports

Ability to professionally communicate and present an outgoing and cordial disposition to those who call, write, or visit St. Gabriel

Ability to set priorities and organize work effectively and efficiently

Ability to work as a team player with staff, volunteers, and diocese personnel

Ability to be creative and design publications (e.g. ministry brochures)

Ability to honor and maintain confidentiality

Required Education and Experience:

College degree or post-secondary courses preferred

Experience in liturgical ministries or a strong desire to learn the liturgical process
