Advancement Office Coordinator
The mission of The Highlands School is the formation of Christian leaders who will transform society.
The Advancement Office Coordinator is responsible for providing effective administrative and clerical support for fundraising, admissions, and marketing functions at The Highlands School.
This is an hourly, non-exempt, three-quarter to full-time role with benefits offered, to be in the office. Occasional weekend and evening support may be required.

The Advancement Office Assistant reports to the Director of Advancement. In his or her capacity, he or she will also provide support to the Admissions Coordinator and Communications Marketing Manager and if applicable, the Headmaster.
The specific responsibilities of the Advancement Coordinator are, but are not limited to, the following:
a. Provide support for the Annual Giving Campaign, Annual Gala and other fundraising initiatives
b. Administering the fundraising database, and accurately tracking contributions and liaison with Accounting department to ensure consistent information is accurate
c. Drafting and distributing donor thank-you letters, reminders, and receipts
d. Confirming and following-up on transactions (deposits, matching gift contributors, credit card charges, pledges, naming opportunities, etc.)
e. Providing information to donors and prospective donors as required
f. Support as needed in the execution of key fundraising programs/events including North Texas Giving Day and Annual Gala/Auction
g. Assisting in preparing for and executing benefactor appreciation programs
h. Assisting in the preparation and execution of school marketing and promotions to parishes
i. Prepare Christmas and Easter card mailing
j. Assist in developing an Alumni relations program to engage alumni.
k. Assist in admissions inquiries including phone calls and campus tours
l. Write thank you notes and follow up mailings regarding admissions acceptance
m. Assist in preparing for Preview Mornings/Open Houses as needed.
n. Updating web-site with most current fundraising and admissions information
o. Execute mail-outs
p. Manage and maintain mailing lists and contact lists/databases
q. Work with a variety of volunteers on community events specific to admissions and fundraising
r. Other duties as assigned by the Director of Advancement
The Advancement Office Coordinator should meet the following qualifications:
a. Excellent written and verbal communication skills
b. Excellent administrative skills
c. Strong sales support and customer focus
d. Strong computer skills including data entry, database management and record maintenance skills
1. Highly proficient with all Microsoft Office products
2. Publisher or InDesign knowledge a plus
3. Efficient with customer and donor databases
e. Excellent ability to prioritize and multitask
f. Excellent organizational skills
g. Creative, flexible, likes a dynamic working environment
h. Enjoys working with volunteers
i. Great love and support for the mission of the school
